Cancellation Policy

# Active Champions Club Policy By booking an Active Champions club, parents and carers agree to the following terms. ## Bookings and Refunds Club places are booked for the full advertised block. Refunds, credits or transfers will not be given where a child misses sessions, changes their mind or chooses not to complete the full course. This includes absences caused by illness, holidays, appointments, school trips, residentials, fixtures, performances, school events or other personal or school commitments. Parents must provide at least 24 hours’ written notice if their child will not attend a session. Notice given less than 24 hours before the scheduled start time will not qualify for a refund, credit or transfer. Providing more than 24 hours’ notice does not automatically qualify the booking for a refund. It helps us maintain accurate registers, staffing arrangements and safeguarding procedures. ## Unforeseen Closures Active Champions is not responsible for sessions cancelled because of circumstances outside our reasonable control. These may include emergency school closures, severe weather, utility failures, industrial action, public-health restrictions, safety concerns or instructions from the school, local authority or emergency services. Refunds will not normally be issued in these circumstances. Where possible, Active Champions may offer a replacement session or another reasonable alternative. Nothing in this policy affects parents’ statutory consumer rights. ## Behaviour Children are expected to behave safely and respectfully towards other children, staff, equipment and the school premises. Where behaviour is persistently disruptive, aggressive, unsafe or significantly affects the safety or enjoyment of others, Active Champions will normally raise the concern with the parent or carer and provide the child with an opportunity to improve. Active Champions may cancel a child’s remaining sessions where behaviour continues after a warning, the child presents a risk to themselves or others, repeatedly refuses to follow safety instructions, bullies or threatens others, or deliberately damages property. For serious incidents, a child’s place may be cancelled immediately without a prior warning. Where Active Champions cancels the remaining sessions because of behaviour, the parent or carer will be refunded for the unattended sessions.
